Description:

Assist in the processing and/or reproduction of engineering and construction documents to insure accuracy and timely release. Assists in maintaining a comprehensive filing system and computer database for all documents to be retained in the document control center with supervision.

 

ESSENTIAL FUNCTIONS:

Include the following. Completes work according to standard procedures on assignments from multiple sources (project managers, design team leaders, group managers, designers and engineers). Completes assignments efficiently and on time. Ensures Quality for completed personal work assignments. Designs and implements system(s) for quality assurance for work of others. Organizes and maintains project files. Monitors and updates engineering deliverable status using company or client document control systems and procedures. Performs as a Team Leader or Group leader when required. Reports to the Senior Document Control Clerk for team or group assignment and determination of standards. May receive direction and/or work from other managers/supervisors. Accommodates needs from all employees for file management and document processing. Produce and update work procedures and standards. Train new document control employees. Works independently in a consistent manner according to established procedures. Demonstrates initiative to appropriately accommodate new circumstances with minimum direction. Able to accurately describe scope and estimate cost (time required) for personal work assignment. Able to direct and accept responsibility for the work of others. Demonstrates an understanding of engineering, construction and process terminology and be able to understand and use terms appropriately both orally and in composition of written communication. Experienced in the operation of office equipment, such as PC?s, printers, typewriters, fax machines, telephone equipment, and various other office machines. Familiarity with the concept of manipulating database programs including creation of database from identification of need to output solutions.

Familiar knowledge with the concept of manipulating database programs including creation of database from identification of need to output solutions. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence with proper grammar, syntax, spelling and punctuation. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Basic knowledge of word processing (customized configuration, document formatting, editing, graphics, file manipulation, merging and style. Knowledge of SAP. Basic knowledge with Excel (creation of complex spreadsheets using intricate formulas, macros and defining output to meet specific needs). Ability to apply common sense understanding to carry out instructions furnished in written, oral and diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

 

QUALIFICATION REQUIREMENTS:

High School or equivalent. Basic secretarial, math and English courses. Minimum of 10+ years? experience including experience in an engineering office Continued education in an Associate or Bachelor?s program for secretarial, business, math or English majors may be applied as experience. Must have training on a word processing program.
