Job Description

Proposal Coordinator or Proposal Specialist
 
Summary: Work closely with proposals and business development to provide support and produce prequalification documents, proposals, and presentations in response to client requests.  Employ word processing, editing, formatting, and proofreading skills to produce quality documents.
 
Duties:
  • Maintain compliance with policies, strategies, protocols, and procedures
  • Employ word-processing, editing, formatting, and proofreading skills to produce quality and compliant documents
  • Assist or independently coordinate the following documents:
    • pre-qualifications
    • presentations
    • proposals
    • preliminary or follow-up information requests
    • other sales, marketing, and technical information requests
  • Implementation of the following proposal processes:
    • schedule development
    • information-gathering
    • review
    • assembly, reproduction, and delivery
  • Coordinate with the BD team to ensure all information within CRM is current and up-to-date as well as help maintain the CRM system
  • Maintain resume database and proposal SharePoint site
  • Assist in organizing general proposal files, databases, and resources for quick, efficient and accurate retrieval of information related to capabilities, experience, history, and industry impact
  • Collect relevant market research and business intelligence to share with the BD team
    • Establish and maintain online subscriptions to various research outlets
    • Highlight and summarize applicable industry new stories to share with BD team
    • Gather general industry news and share with BD team
 
Education:
  • Bachelor’s degree in technical writing, journalism, marketing, etc., or equivalent experience
  • 3-5 years related experience in proposals preferably for engineering companies
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, and Excel). Microsoft Access proficiency a plus.
  • Strong writing, editing, and proofing skills
  • Strong communication skills both written and verbal
  • Ability to work independently or as part of a team
  • Ability to work with people at all levels
