Job Description


    • Web management and design of the Unconventionals and Theme Office pages.  This will include updating and maintaining the current catalogues, updating the correct design drawings, data sheets etc and complete a quality check on the documents to be uploaded.

    • MOC coordinator for the Theme Office.  This will include a quality check of the MOC documents and ensure the technical documents have the proper Technical Authorities involved.  MOC register will be required to be updated.

    • Manage monthly KPIs information collation and report generation for the Theme Office and visual management.  

    • Manage the Audit schedule for Assurance events in the Unconventional project teams.  Ensure the tracking sheet is updated and findings are being progressed.

    • Work with the Asset Project Managers (APMs) on progressing their plans for Project Delivery Model (PDM) and update accordingly.  Identify any gaps with the Theme Office Manager

    • Assist with the Business Performance Reviews (BPR) presentations with our vendors to ensure the correct data on quality, delivery schedules, cost etc is prepared.

    • Develop the presentation packages for the Theme Office team for quarterly functions.

    • Ensure the Business Assurance Committee (BAC) risks are being updated.  This requires discussions with the risk owners and knowledge of Easyrisk

    • General office management for the Unconventionals Projects Leadership Team.

    • Prepare/print pre-reads for presentations and assurance events.

    • Creativity is a must.  Need to determine/facilitate team building events etc for the LT meetings.

    • High stress position, supporting a high demanding team  with duties to include responding to and manage daily support requests across multiple time zone




    • Maintain trust and security in the handling of confidential information

    • Provide administrative support to GM including calendar management and acting on their behalf with respect to accessibility, meetings and appointments

    • Coordinating international and site travel arrangements for GM including flights, visas, ground transportation and accommodation.




    • Manage “My Requests” for GM ensuring compliance and cost-effective options are used at all times

    • Process GM expenses and track to ensure compliance




    • Provide Timewriting support and communicate Timewriting Missing Hours Report on a monthly basis to ensure compliance

    • Work with Real Estate to plan and organize office space/moves floor focal)

    • Organizing and coordinating events in/outside Shell offices: (Examples: Townhalls, Conferences, Workshops, Meetings, Lunches, Trainings, Lunch & Learns and Social events), including the yearly Engineering Forum.  These events usually require the following activities:




    • Researching suitable venues

    • Negotiating with 3rd parties

    • Costing activities

    • Full administration before/during/after the event

    • Coordinate Video Conferencing & Audio Conferencing




    • Ordering office supplies

    • Coordinate visitor requests and security pass arrangements




    • Strong interpersonal and communication skills

    • Experience is a must in supporting a high performing team

    • Must have experience with organizing events from end to end.

    • Must have experience providing administrative support to VP or higher
