Job Description

We are currently looking for an On-boarding & Assignment Support Administrator to join our Bonnyville office.

In this role you  will work as a key member of the operations team in the Bonnyville branch, and will be primarily responsible for the on-boarding of employees and contractors along with post on-boarding assignment support. The role will entail significant interfaces with the sales and support teams.

Key Responsibilities:

On-boarding -

  • Understand and have general knowledge of client contracts and specifications
  • Prepare employment agreements and contracts for employees and contractors respectively
  • Communicate with payroll in a timely fashion to ensure they are aware of the new hire
  • Communicate and support the contingent workers from the beginning of the onboard process for the duration of their employment
  • Data entry post orientation – updating A&D spreadsheet, organizational chart, DATS
  • Scan and update employee and contractor compliance documents.
  • Update detailed rate charts and rate sheets in excel as required
  • Understand timesheet templates and invoicing protocol
  • Understand the company benefit package
  • Prepare orientation paperwork and take-home bags for new hires
  • Perform new hire orientations
  • Assist in continuous improvement ideas
  • Other duties as assigned or as role changes
 Post On-boarding Assignment Support -

  • Data entry post orientation – updating A&D spreadsheet, organizational chart, rate charts
  • DATS
    • Process safety ticket emails and update DATS Contact individuals in regards to tickets, and log the contact in DATS and Bullhorn
    • Work with Compliance Manager to identify problems with compliance
    • Keep DATS up to date as to comply with month end reporting (all emails and tickets should be processed by the end of the month)
  • Prepare termination letters as required
  • Work with payroll to assist in processing customer rate increases (sending requests to payroll, updating rate sheets and rate charts as required)
Experience Required:

  • Previous experience with on-boarding or safety administration
  • Previous experience managing safety tickets and drug & alcohol testing
  • Outgoing/Confident personality
  • Proven organisational skills, smart and methodical, demonstrating ability to multi task and prioritise (time-management)
  • Detail oriented
  • Strong team player who can also take initiative and work in an autonomous fashion
  • Good communicator, articulate with ability to influence peers
  • Excellent written and verbal presentation
  • Willingness to support outside of core hours where necessary, including evening/weekend calls when required
Desired Skills:

  • Experience with Social Media Outlets i.e. LinkedIn
  • Ability to utilize various software
  • Ability to utilize Microsoft Office Tools such as Outlook, Word, Excel and PowerPoint
  • Customer Service Driven
