Job Description

Our clients' Engineering Division based in Chiswick, is a leading global provider of engineering and technology, products and service solutions to the Oil & Gas industry.

They are currently looking for a Project Administrator/Project Secretary to provide effective and overall administrative support to specific areas within the Projects organisation. Administrative focal point for an OIl & Gas projects.

Preparation of reports, presentations and other documents, including collating and compiling of information from various sources in a timely manner, ensuring accurate presentation and formatting consistent with Corporate Design Guidelines

Provide administrative support to the Project Manager and the project team including but not limited to:

  • Organising project travel as required
  • Booking meeting rooms and arranging lunches along with any other equipment/resources required for meetings
  • Management of Project IT equipment stock, including , Logging and following up calls with IT/Facilities management on behalf of Projects Team
  • Office moves – ensuring all paperwork is completed and sent to relevant departments to ensure the swift movement of persons within the office/offices.   Also responsible for collating costs etc. for clients office space (one by various Co-ordinators)
  • Maintaining holiday charts, recording annual, sickness and CWW leave
  • Arranging Project Team Building events and social events
  • Delivering project mail, document meetings and distribute actions to participants as necessary
  • Maintain Project Info spreadsheet with information on who the project team members disciplines and telephone numbers
  • Assisting Project Managers in preparation for external and internal meetings, compiling minutes of meeting, Carry out any other requirements with the aim of improving efficiency of the Project Management Team
  • Ability to manage the visa process


Qualifications/personal attributes

  • Business administration course
  • SAP experience
  • Competent with Microsoft Applications (Word, Excel, PowerPoint)
  • Good Communicator
  • Team Player
  • Ability to work as part of a team or on own
  • Customer focused and orientated
  • Advantageous to have industry project experience
