Receptionist - Farnborough - Initial ongoing contract position with potential to transition to permanent staff

Our client, a global Oil & Gas service company, are looking to hire a suitably experienced Reception / Admin person to be based at their facility in Farnborough, Hampshire.  

  • Booking and management of meeting and shared spaces
  • Ordering of catering requirements for meetings within the office building
  • Reception and Switchboard operation
  • Provision and management of ID badges for the building
  • Work with Cody Security to ensure all visitors are issued with access to the Cody site
  • Additional customer interfacing duties as required inc room set up and admin support
  • Visitor management, meet & greet, ensure visitor & 3rd part contractors record maintained on arrival & departure
  • Issue all visitors to the premises and third party contractors working at the premises on their arrival with security passes and collect these on their departure
  • Receive visitors on behalf of the company’s employees, notifying the specific individuals of the arrival of their visitors and when instructed directing the visitors to the location in the premises as designated by the host employee
  • Ensure visitors are briefed on the health and safety procedures for the business – contractors safety briefing will be managed separately
  • Operate the switchboard and follow the correct procedure for transferring calls and issuing company sensitive information
  • order general stationery, letter heads,  paper and toner as required to maintain the central stationery store to agreed levels, using preferred suppliers.
  • Maintain a reception environment that is clean, tidy and portrays the correct corporate image 
  • Receive all incoming mail, sort and open (where required)  into appropriate departmental order, within 2 hours of arrival in the building
  • Receive all outgoing mail, frank if necessary and pass to mail company
  • Where required order taxi requests for employees and visitors
  • Franking Machine Credit Maintenance
  • Where applicable, ensure the franking and sorting machines are fully maintained and in mailing machines are in credit to allow use of the equipment at all material times.
  • Misdirected mail
  • Mail delivered to the wrong location or unidentifiable mail to be sorted within 8 hours of arrival in the building and appropriate redirection
  • Ensure any suspicious packages are handled in accordance with site practices.
  • Report any incidences during the month.
