Job Description


Required Qualifications:
•    High School Diploma or equivalent
•    A minimum of 5 years of Administrative Assistant experience within an Oil/Gas or Construction environment
•    Strong experience managing calendar schedules, meetings, domestic travel coordination, etc.
•    Advanced experience Outlook and Word
•    Intermediate experience Excel, SharePoint, MS Teams and OneNote
•    Candidates local to Ingleside, TX area required.


Qualifications:
•    PCARD management and CTREX skills
•    Bilingual- proficiency in Spanish


Responsibilities:
•    Provide support on reporting and other project services areas.
•    Onboarding/Offboarding: Personnel Change Administration (PCA), Welcome Letter and welcome packet, processes up-dates
•    Coordination of SLT meetings, including governance quarterly meetings with Houston Management team
•    Anticipate, prepare, organize, and summarize various reports for SLT
•    Arrange meetings with internal and/or external customers including conference room necessary equipment/material, catering, and invitation to others as required
•    Organize logistics, including coordination with hotel management of schedule, speaker presentations, registration and hotel/AV services Understanding of 3rd party service providers (hotels, restaurants, etc) contracts and meeting setup, AV and IT setup,  and possibly Chevron booking programs
•    Supports stakeholder and communication activities, access to buildings with Houston Team, Subcontractors and Partners
•    Coordinate Office Space, Update Floor Plans and coordinates moves
•    Manpower Baseline / Staffing plan Administration, Update Roster, Org Charts Distribution Lists and GLAM
•    Point of contact for monthly roster maintenance – review reports and make adjustments of mobilization/demobilization based on manpower updates from Project Controls
•    PCARD management and skills for expense reports
•    HES support, IIF Onboarding coordinator
•    Properly handles sensitive and confidential material
•    Manage reproduction requests through 3rd party vendors
