MISSIONS / SERVICE DIMENSIONS
The service holder will oversee all the Documentation Control activities linked to a major South American Project.

ACTIVITIES
  • To adopt and demonstrate exemplary behaviour concerning H3SE, implementing and monitoring H3SE rules and requirements within his area of responsibility.
  • To be informed of Company Specifications (GS’s/GR’s), Corporate procedures, etc. related to Documentation Management and their application to the Project.
  • To define, develop, implement, and maintain a Documentation Management plan detailing the strategy adopted, the organization set-up as well as the means and tools defined accordingly.
  • To implement and maintain procedures, specifications, means, and tools (among them New PRODOM) required to ensure efficient management of all flows of documents during all the phases of the Project and in all project work locations.
  • To liaise with concerned Corporate Departments for the setting-up, implementation and maintenance of the company (New PRODOM) within the Project.
  • To organize, supervise, control, and support the Documentation section (several Document Controllers) in the performance of their duties all along the course of the Project.
  • To participate in the implementation of the Documentation Management system Contractors, setting up and explaining rules and procedures, jointly with the assigned Document Controller and with the help of concerned Corporate Departments.
  • To participate, as necessary, in the Documentation Control and Management activities, including but not limited to:
 
  • The use of New PRODOM for day-to-day activities such as registration and integration of contractor received documents, registration of transmittal sheets, definition and launch of review workflows (maintenance of a distribution matrix for this), follow-up, and expediting of reviewing process.
  • Control the conformity of contractor-issued documents concerning Project specifications and standards, using special tools for automatic control, commenting on the conformity of documents, and rejecting documents as necessary.
  • NEW PRODOM inductions to newcomers, including, procedures/specifications/tools.
 
  • To perform constant analysis of produced documentation to check for compliance with Project standards regarding numbering, graphic charts, used symbols, and all other aspects related to document quality.
  • To define, set up, validate, and maintain necessary means and tools for the timely preparation of the handover of documentation to the Operations team.
  • To coordinate with the Affiliate (and other Departments as necessary) for the management of correspondence (mainly correspondence with Partners and Concessionaire)
  •  In a general manner, assist the whole Project team with all matters related to documentation management activities
  • To report timely to the GEDI / Project management highlighting any encountered area of concern.
  • To observe and impose strict confidentiality in the performance of the documentation management during the tendering phase and in a general manner all along the course of the Project.
  • To gather ‘lessons learnt’ regarding Documentation Management matters and provide feedback to other company entities as required.

CONTEXT & ENVIRONNENT
The activity takes place in the context of the execution phase of a major project in South America. The GPI is a multidisciplinary team that coordinates the studies managed by the affiliate on the Deep and Shallow Water discoveries.
The technical challenges the GPI / Project will face are the reservoir development and management, FPSO, and subsea production/injection system.
The Team will develop the Project with the objectives of maximizing economic results by optimizing the reserves, and the schedule, reducing the costs and the Greenhouse Gas (GHG) emission, while maintaining the technical quality of the installations, with high H3SE requirements and focusing.

DURATION / LOCATION
  • Starting date: June 2024
  • Duration: 1 - 5 years after FPSO, SUR, and SPS package contracts are awarded
  • Location: France / Paris
  • Status: Résident

QUALIFICATIONS & EXPERIENCE REQUIRED
  • Qualification: Very good experience within the Oil & Gas Documentation Control Management sector
  • Languages: English and French
  • Professional Experience: At least 10 years
  • Experience within a project: 5 years Minimum Requirement
