NES are supporting one of the key organisations in the development of a major new build power station.  Our client have identified a role for someone to assist in the capacity of Project Administrator, whilst having a hands on involvement in supporting one of the most influential people in the delivery of the project.  Specification as follows:


The Procurement Service Administrator will assist the project procurement group for the preparation of transport & Procurement (T&L) cost & shipping schedule estimation, during Early Contractor Engagement (ECE) phase, and intensive project execution during the Engineering, Procurement & Construction (EPC) Contract phase.


The Procurement Service Administrator duties will include, but will not be limited to, the following:

Assist the Project Manager and the Procurement Service staff, in the following procurement work scope:

Handling confidential documents and data in secure manner

Making copies, issuing telefaxes, scanning of documents

Destroying any security and/or Export Controlled related documents

Proper filing of the procurement related documents in accordance with the code requirements and Project procedures

Arranging of the meeting rooms including for JGC visitors

Preparing of the hand-out/’Pre-Read’ documents for all meetings

Receiving the phone calls for Project procurement team and report to the required staff members

Compilation of status reports including monthly reports, for the procurement management related activities

Preparing and registering of all letters to the client, joint venture partners, suppliers, procurement service providers (ocean vessel carriers, container carriers, barge carriers, freight forwarder, custom brokers, etc.), and any other stake holders.

Preparing and registering of all transmittals to the client, joint venture partners, suppliers, procurement service providers, and any other stake holders.

Preparing and registering of all transmittals to the client, joint venture partners, suppliers, procurement service providers, and any other stake holders.

Administration of the time sheets for contract procurement service staffs

Maintaining of Project Procurement Service Providers’ contact details

Preparing/Updating/Reporting of the Inquiry/RFQ status tracker system for any procurement service/works

Preparing/Updating/Reporting of the Purchase Order status tracker system, especially material status including shipping status

Preparing/Updating/Reporting of procurement service providers’ payment status to

Procurement Manager.

Any other procurement logistic management related job scope items.

Interfacing with all JGC Project personnel, in Gloucester, London and Japan

Interfacing with other joint venture partners (Hitachi and Bechtel) in Gloucester, Japan, and Reston VA, USA.


Secretarial Work for Project Procurement Manager

Arrangement of all business trips for procurement group members including the purchasing of air tickets, train tickets, hotel bookings, general transport, etc.

Expediting and coordination of the contract staff time sheets of procurement group, and recording man-hour expenditure



The following knowledge and experience are required as a minimum;

Fluent in written and verbal English language.

EPC project experience, especially in procurement service of plant, systems and components.

IT/PC/digital media knowledge inclusive of a minimum of experiences of Microsoft WORD, EXCEL, Power Point; Adobe PDF; and also Lotus/IBM NOTES, etc.

Good communication skills in the multi-national, multi-cultural team members and staff in the project team.
